Property enquiries arrive from portals, social ads, WhatsApp and the website, at all hours, while agents are showing houses. A buyer who writes in is usually writing to several agents. The first useful reply often shapes who gets the viewing. The problem isn't that agents are slow; it's that they are busy doing the work buyers pay them for.
What a good first response does
- Answers immediately, on the channel the buyer used — acknowledging the specific property they asked about.
- Provides real information — price, size, features, availability of viewings, drawn from the listing data, not from memory.
- Asks two or three natural questions — budget range, timeline, financing status — in conversation, not as a form.
- Books a viewing or a call — offering real agent calendar slots, with confirmation and reminders.
- Hands over a summary — the agent receives who this is, what they want and what they were told, so the first human conversation starts well.
The honesty rules
- Never invent details — if a fact isn't in the listing, say the agent will confirm it.
- Don't pressure — urgency tactics and invented competing offers damage trust and may breach advertising rules.
- Respect consent — be clear about how contact details will be used, and honor opt-outs.
- Don't give legal or financial advice — pass those questions to a qualified person.
In a relationship business, a fast reply that makes a false promise is worse than a slow one. The aim is speed with accuracy, and a visible path to a human.
Measure the outcomes
- Time to first response, by channel and time of day.
- Enquiry-to-viewing rate — the number that shows whether speed becomes opportunity.
- Lead quality as judged by agents — are the summaries useful, and are the right people being booked?
- Complaints and corrections — a sample of conversations reviewed for wrong information.
Start small
Pick one portal or channel, connect the live listing data and the agents' calendars, and review conversations daily at first. If the agents find the summaries useful and buyers book viewings, widen the scope. The goal is to make sure no serious buyer waits hours for a first answer.
